Dear Industry Colleagues,

Attendees and exhibitors enjoying the Friday evening reception
Attendees and exhibitors enjoying the Friday evening reception at the WRA Annual Conference held at Sleeping Lady Mountain Resort outside the town of Leavenworth, WA in the beautiful Cascade mountains

Thank you for your support over the years of the Washington Rheumatology Alliance’s Annual Conference. As we begin planning for the 14th annual conference next September 18-20, 2020 at Sleeping Lady Resort, the board and planning committee determined that we need to find a more equitable way to make the satellite symposia opportunities available to our invaluable supporters. To this end, we will be holding a raffle for each of the three sponsorship opportunities.

We once again invite you to participate in our annual educational event. This meeting, held at the intimate and charming Sleeping Lady Resort in Washington State’s Cascade Mountains, attracts rheumatologists, allied health professionals, and practice administrators from across the state and beyond. Next September they will gather to learn from top experts in their specialty as well as to gain insights into advocacy efforts and other activities of our organization. The cozy exhibitor hall and the entire weekend-long event is an ideal opportunity for your company’s representatives to have personal conversations and develop relationships with physicians who represent virtually every rheumatology practice and healthcare system in Washington State.

Sponsorship Opportunities

Satellite Symposia: Two available

We offer two companies the opportunity to sponsor the satellite symposia to be held at breakfast and lunch on Saturday, September 19, 2020. These are prime opportunities for select companies to present an educational speaker (not for CME credit) at a meal-time symposium just for physician attendees. Each symposia opportunity is valued at $25,000.

Practice Management Track Patron: One available

For a second year we are also offering a new option for a company to help support our growing Practice Management Track. This is a unique opportunity to support an educational speaker exclusively for practice manager attendees, and if desired, to support a complementary educational speaker (not for CME credit) for physicians on Saturday after the educational program has ended. This opportunity is valued at $25,000.

Guidelines for Sponsorship

Please note the following:

  • Satellite Symposia are one-hour long programs offered at breakfast and lunch on the Saturday of our conference.  Each one is available to only one company.  The Practice Management Track Patron is for a one-hour long program for practice managers at Saturday lunch with the option of a complementary educational speaker for physicians (not for CME credit) on Saturday afternoon.
  • Only physicians and other healthcare provider attendees are invited to participate in the symposia. Industry reps are politely told that this session is not for them.
  • A simple meal will be served and is paid for out of the general conference budget. Note that no other meals are provided for the healthcare provider track participants at the time the symposia are going on, as well as for the practice managers during their lunch.
  • Projector, laptop, microphone, and podium are provided to the speaker at no extra charge.
  • This is not a “product theatre” or an “infomercial” for a commercial product. It’s a sponsored non-CME presentation.
  • Sponsoring companies are asked to line up an engaging, qualified speaker with an interesting topic that the physicians will want to learn more about.
  • In order to assure that the satellite symposium topic is a good complement to the other educational programming at the conference, it is recommended that the WRA executive director and president be consulted before a final decision is made about speaker and topic to be offered.
  • The final decision on speaker and topic will be made at least 45 days prior to the conference so that the information can be included in the marketing for the meeting and the online agenda.
  • The sponsoring company is welcome to have branded material in the seminar room and a representative of the company may make a short welcome to the attendees and introduce the speaker.
  • See below for sponsorship pricing and benefits.
  • The sponsoring company is responsible for contracting with the speaker, providing any honorarium, and arranging transportation and accommodations. The sponsored speaker must stay at Sleeping Lady Mountain Resort, the official conference hotel. Please provide contact and travel details for the sponsored speaker to WRA staff.
  • WRA is happy to offer a complimentary registration for the conference to the speaker if he or she would like to come for more than his or her own presentation.

Raffle Eligibility

Any company who makes a firm commitment to the price and selects a speaker/topic that is approved by the conference planning committee is eligible to enter the raffles. HOWEVER, companies who sponsored an event in 2019 MAY NOT enter the raffle for the same event in 2020. For example, AbbVie sponsored the Practice Management Track Patron opportunity in 2019. They may not enter the raffle for the same activity, but they are eligible for both Satellite Symposia.

If a company did not sponsor any event in 2019, they are eligible to enter all three raffles for 2020.

If a company should win more than one sponsorship opportunity, they may only sponsor one event.

How to Enter

Email WRA’s executive director, Emily Jones, at emily@wsma.org and indicate which of the three raffles your company would like to enter. The last day to enter is Wednesday, January 15, 2020.

The winners will be drawn at random on Thursday, January 16. Each winning company must select an Exhibitor Level and agree to the sponsorship commitment by February 15, 2020. In a situation where a winning company is not able to make the financial commitment and/or select an appropriate speaker, their sponsorship will be forfeited, and a winner will be re-drawn.

If you have any questions, please feel free to contact Emily.

Thank you and we look forward to seeing you in Leavenworth in 2020!
